Job Description

An exciting opportunity for an Administrative Assistant to join a team of professionals in the investment banking and global affairs department. Work in a stunning new office with open floor design, charismatic coworkers and opportunities to expand your skill set and experience. The role will assist with a variety of office support tasks to assist the internal staff with all facets of office management including reception, filing, scheduling and data entry.

Perfect role for a sharp and dedicated candidate to learn the ins-and-outs of running a corporate office while advancing their career track.

Description

Including but not limited to:
Answer incoming calls
Oversee staff schedule and serve as point person when coordinating meetings
Maintain internal staff calendar
Sort mail- prepare outgoing parcels as well as distribute incoming packages
Assist with daily client and guests management issues- more customer service aligned
Prepare assorted documents such as presentations, spreadsheets, marketing material, etc.
Manage a variety of special projects that are deadline driven and require eye for detail
Keep updated records of reports to track project development, office procedures and compliance
Budget and submit expense reports including receipts and reimbursements as well as keep records via internal system and running Excel spreadsheet
Work with IT to ensure no technology or presentation glitches
Coordinate all logistics for company related events that feature 100+ attendees
Plan travel for senior management
Work with Operations team to help with payroll, on-board training and general new hire paperwork

Profile

Successful candidates should have slight administration experience within an office setting- internships included.

Previous experience in finance greatly preferred.

Bachelor's Degree or equivalent in experience recommended.
