Supervise the producer pool of approximately 5 Senior Producers, 4 Producers, 2 Associate Producers, 2 Production Coordinators
- Weekly / Daily check-ins with individual Producers on active project status updates, final reconciliation and closeout of completed projects and status on pending proposals
- Maintain Project Summary spreadsheet to track all projects and assigned staff
- Weekly update meetings with CEO’s assistant to track ongoing new opportunities, proposals and updates on active projects
- Ensure all active projects are properly staffed with either internal resources or freelancer staff
- Assess, identify and contract freelancers on a project by project basis to include to not limited to; Lead Producers, Line Producers, Associate Producers, Project Coordinators, Production Assistants, Talent Wranglers, Stage Managers, Assistant Stage Managers, Program Producers
- Monitor and train new employees on company’s processes and protocol
- Ensure that all processes are being utilized appropriately as they pertain to the proper use of Dropbox, Archive, Master Documents, Team Calendar
- Administrator of Dropbox (along with Director of Operations and Finance) overseeing all usage and problems associated with its usage
- Writing weekly Staff Meeting agendas and distributing to Creative Director, CEO and Administrative Assistant in advance of all meetings
- Conduct weekly Staff Meetings with updates on Completed Projects, Upcoming Projects, Proposals and New Opportunities, as well as other company wide announcements and policy updates
- Participate in every final production meeting or internal meeting for each projects company produces
- Available to be onsite to check-in on progress for each project local to New York
- Act as a swing producer in various disciplines on projects with unexpected additions to scope of work where additional support staff cannot be acquired on a timely basis
- Act as Program Producer for approximately 15 projects per year including participation in run of show development, and working with presenters and other stage staff for advance and onsite rehearsals
- Act as Assistant Stage Manager for approximately 25 projects per year
- Oversee all new business opportunities that require proposals alongside CEO and Creative Director
- Draft approximately 50 budgets per year for new project opportunities and recurring projects.
- Review for accuracy budgets compiled by other employees
- Review for accuracy all Event Services Agreements, when CEO not available
- Track and approve, with Director of Operations, all staff vacations and time off to ensure no interruptions of work flow
- Participate in sales and pitch meetings for new opportunities representing the production team for clients
- Manage, maintain and update all master document templates, including Run of Show, Production Schedule, budgets, contract trackers, freelancer and vendor agreements (with inhouse counsel support) etc. and communicate to all staff on a consistent basis.
- Draft and distribute employee self-review questionnaire and write subsequent management insight annual employee review. Conduct review with CEO for each employee
- Act as Lead Producer/ Account Executive on 2-3 projects per year
- Participate in the vetting process and interview of all new interns and employees.
- Communication and distribution of all company wide information and updates as they pertain to work flow and operations
- Oversee several “special projects” throughout the year (ie. Office Cleanup Day, Seating Reassignments, producer training sessions, etc.)
- Ensure consistent communication with department heads of Technical Production and Creative to ensure efficient production on each project
- Assessment of new hires (with CEO) and determination of “holes” in the production process
- Resolve inter-office conflicts among producing personnel, participate in disciplinary actions and work to maintain staff morale and productivity
