Job Description

The responsibility of the Office-Facility Manager is to plan and organize the administration of the overall office, Production and Warehouse Team.

Management Team Organization
* Support and advise on all administrative matters.
* Directly assist Management Team in organizing calendars, deadlines and appointments both internal and external with clients and vendors.
* Answer and screen calls for management team, always responding professionally and politely.
* Remind CEO of upcoming meetings and gather necessary documents and data for those meetings.
* Assist Corporate Manager in accounting functions as requested.
* Attend weekly and monthly Management Team meetings and distribute minutes to team.

Account Management
* Respond positively and politely to all client inquiries.
* Work with the Director of Account Management in maintaining accurate information in all client files.
* Prepare service forms and order show services as requested.
* Assist in the development and routing of client invoices.
* Approve field service invoices from vendors and route to the Accounting department with accurate coding.

Sales Operations
* Work with Sales team in the gathering of information and creation of presentation materials.
* Liaising with Sales, Account Management and Production departments to ensure information flow is continuous.
* Assist Executive team with the implementation of marketing plans.

* Excellent organizational skills with high attention to detail and accuracy.
* High level of customer service skills.
* Knowledge of and experience in business administration and office procedures.
* Strong communication skills and service organization.

1. 3+ years of administrative management experience.
2. Experience interacting with clients, company management, and employees.
3. Strong computer skills with the Mac platform.
4. Stable work history.
5. Local or close enough for a short easy move.
